This Privacy Policy explains how Visibility Buddy ("Visibility Buddy", "we", "us", or "our") collects, uses, stores, discloses and otherwise processes the personal data we collect when you visit our website at visibility-buddy.com, register for an account and use our Services, contact us by email, or otherwise interact with us. It also describes your rights and choices with respect to your personal data, and how you can contact us with any questions or concerns.

Please read this Privacy Policy carefully. If you do not agree with its terms, you should not use our website or the Services, or otherwise provide us with your personal data. By using our website and the Services, you acknowledge that you have read and understood this Privacy Policy. Your use of our Services is also governed by our Terms of Service.

We may update this Privacy Policy from time to time. If we make changes, we will post the updated Privacy Policy on this page and update the "Last updated" date above. We will notify you of any modifications that materially affect how we use or disclose your personal data before the change becomes effective. Your continued use of the Services after we post changes constitutes your acceptance of those changes.

  • "Services" refers to our AI visibility scanning, reporting, and related Software-as-a-Service products made available via our website.
  • "You" and "your" refers to the individual to whom the personal data covered by this Privacy Policy relates.

Some of our website's functionality can be used without providing any personal data, but using certain features of the Services requires personal data. We process three broad categories:

3.1 Information Provided Directly by You

  • Account registration. When you register for the Services, we ask you to provide personal data including your email address and password. If you create an account or log in using a third-party service (such as Google), we will receive your name and email address as permitted by your profile settings on that third-party service in order to authenticate you.
  • Communications with us. We collect personal data that you voluntarily give us when you contact us with inquiries, respond to surveys, request support, or otherwise communicate with us regarding the Services.
  • Scan inputs. The URLs and brand information you submit so we can run AI visibility scans on your behalf.
  • Transactions and payment information. When you purchase a Pro report or other paid feature, we collect billing details and payment method information necessary to process the transaction. Card details are processed by our payment provider (Stripe); we do not store full card numbers on our servers.
  • Identity verification. In some cases (for example, if you request a refund) we may ask you to provide additional information such as billing details, email address, login name, and, if needed, information that verifies your identity, in accordance with applicable law.
  • Testimonials. With your consent, we may post your testimonial along with your name on the Services. If you wish to update or delete a testimonial, please contact us at info@visibility-buddy.com.

3.2 Information Received From Third Parties

We may combine personal data we receive from you with information obtained from other sources, such as publicly-available sources, our payment processor (transaction confirmations and fraud signals), and authentication providers (such as Google) when you choose to sign in through them. We may use this information to verify the accuracy of our records and for the other purposes described in this Policy.

3.3 Information Collected Automatically

Like many commercial websites, we use cookies and similar technologies to automatically collect information as you navigate our website and use our Services, subject to your consent where required.

Device and Usage Data. When you visit our website we may collect information about which pages were visited, the order in which they were visited, when they were visited, and which links were clicked. This may include logging the IP address, operating system, and browser used by each visitor, from which we may infer the approximate geographic region of the connection.

AI interaction data. During scans we query third-party AI models (such as OpenAI GPT-5 and Google Gemini) about your brand or URL and store the responses we receive in order to generate your report.

Cookies and similar technologies. We use essential cookies to maintain your session and authentication. We may also use analytics cookies to understand how visitors interact with the Services. You can control cookie preferences through your browser settings.

We use the personal data we collect as follows:

  • To provide the Services and related support, run scans you request, generate Pro reports, process transactions, manage your account, and respond to your requests. This is necessary to perform our contract with you.
  • To operate and administer our website, deliver content you request, and respond to your inquiries.
  • To manage our relationship with you, including sending administrative messages about the Services and changes to our terms, conditions, and policies.
  • To analyse your preferences, interactions, and usage of the Services in order to identify trends, improve features, and develop new products.
  • For other internal business purposes, such as data analysis, audits, fraud prevention, ensuring the security of our IT systems, and detecting misuse of the Services.
  • To comply with legal obligations and legal process, respond to lawful requests from public authorities, enforce our Terms of Service, and protect our rights, property, and safety, or that of you or others.
  • If you ask us to delete your data or to be removed from our marketing lists, to keep minimal data necessary to identify you and prevent further unwanted processing.
  • For marketing and advertising, including sending you updates about new features, upcoming events, or other news, where permitted by law. You may opt out at any time as described in the "Privacy Rights and Choices" section below.

We do not sell, rent, or lease your personal data. We disclose personal data only as needed to provide the Services you request, with your permission, or as required by applicable law.

  • Service Providers. We engage third parties to perform tasks on our behalf, including payment processing (Stripe), hosting and database services (Lovable Cloud), AI inference (OpenAI, Google), email delivery, and analytics. They process your personal data only following our instructions and for the purpose of providing those services.
  • Business Transfers. If we are involved in a merger, acquisition, financing due diligence, reorganization, bankruptcy, sale of assets, or transition of a service to another provider, your personal data may be transferred to a successor or affiliate as part of that transaction.
  • Legal Requirements. We may share your personal data where required to comply with a legal obligation, respond to lawful requests by public authorities, enforce our Terms of Service, protect our rights or property, or act in urgent circumstances to protect personal safety.

We retain your personal data for as long as reasonably necessary to provide the Services and fulfil the transactions you have requested, to comply with our legal obligations, or for other legitimate business purposes such as maintaining financial records, resolving disputes, maintaining security, and enforcing our agreements. Free scan results are typically retained for 30 days. Pro report data is retained according to your subscription terms. After the applicable retention period has elapsed, your personal data will be anonymized or deleted.

We have implemented physical, technical, and administrative security measures designed to protect the confidentiality of personal data we process, including SSL/TLS encryption for data in transit, secure database storage, access controls, and authentication. Payment processing is handled by Stripe, a PCI-DSS compliant provider; we do not store full payment card details on our servers.

The Internet, however, cannot be guaranteed to be 100% secure, and we cannot ensure or warrant the security of any personal data you provide to us. It is your responsibility to protect the security of your login credentials. Our infrastructure and certain service providers are based in countries outside the European Economic Area (EEA) and the United Kingdom. If you are accessing our Services from the EEA, the UK, or other regions with laws governing data collection and use, please note that your personal data may be transferred to, stored, and processed in jurisdictions whose data protection laws may differ from those of your country.

Where we transfer personal data internationally, we take steps to ensure it receives an adequate level of protection, including, where applicable, through the use of Standard Contractual Clauses approved by the European Commission. Opt out of marketing communications. You may opt out of marketing emails by following the unsubscribe instructions in any message you receive from us, or by contacting us using the details below. You may continue to receive Services-related, non-marketing emails.

Personal data requests. Depending on your location, you may have the right to:

  • Access a copy of the personal data we hold about you, where applicable in a portable, machine-readable format.
  • Request correction of personal data that is inaccurate or out of date.
  • Request deletion of personal data we no longer need to provide the Services or for other lawful purposes.

Our Services are not directed to children under the age of 16. We do not knowingly collect personal data from children under 16.
